Job Summary

The Liaison Officer, he/she will be the welcoming face of the organization, responsible for providing excellent customer service and acting as the point of contact between visitors, clients, and internal teams. Reporting to the Operations Director, he/she will play a key role in ensuring a positive and seamless experience for everyone interacting with the company's front desk.

Responsibilities

  • Greeting Visitors: Warmly welcome visitors, clients, and employees to the premises with a professional and friendly demeanor.
  • Inquiries Handling: Address inquiries from visitors and clients, providing accurate information or directing them to the appropriate department.
  • Phone Management: Answer and manage incoming calls, taking messages and forwarding calls to the relevant individuals.
  • Email Correspondence: Respond to emails and handle correspondence related to front desk inquiries.
  • Visitor Registration: Manage the sign-in process for visitors, issuing badges and ensuring security protocols are followed.
  • Client Assistance: Assist clients with any immediate needs or concerns, ensuring a high level of client satisfaction.
  • Client Communication: Maintain open communication with clients and visitors to address their needs promptly.
  • Mail Handling: Receive and distribute mail and packages, ensuring accurate delivery to the intended recipients.

Qualifications

  • Education: High school diploma or equivalent. Additional certifications in customer service or administration are a plus.
  • Experience: Previous experience in a customer service or front desk role is advantageous.
  • Communication Skills: Excellent verbal and written communication skills to interact professionally with visitors and clients.
  • Customer-Centric: Strong customer service orientation with a focus on delivering exceptional experiences.
  • Organizational Skills: Efficient organizational skills to manage multiple tasks and prioritize effectively.
  • Tech Proficiency: Familiarity with basic office software and phone systems.
